- You do. You remain the provider of record on the file and bill the insurer under your own provider number and HCAI submission. We invoice you for staffing hours on agreed terms. This keeps your SABS / OCF workflow intact.

- We bill the insurer directly through HCAI using OCF-21, under the SABS ‘incurred expense’ framework with an assignment of benefits on file. The client pays $0 out of pocket and sees no invoice. Your firm handles no billing. Once the OCF-18 is approved, care proceeds and invoices go directly from SJTN to the insurer.
- We notify your office immediately. We provide the clinical documentation to support the original assessment. Your firm handles the dispute with the insurer — we provide the records that make the case.
- Yes. Our Form 1 assessments, clinical care notes, and ongoing RN observations are the source material cost of care experts rely on when preparing future care cost reports for settlement or trial.
- RN intake assessment within 2 business days. Catastrophic and urgent files are prioritized same-day. OCF-18 submitted to the insurer within 5 business days of the initial assessment.
- Yes. We are equipped for catastrophic-designated files and files undergoing catastrophic determination. Complex care needs, extended hours, multi-discipline coordination — we scale to the file.
- Kingston, Frontenac, Lennox and Addington (KFL&A). For files outside this area, contact us — we may be able to accommodate depending on the client’s location and care needs.
Veterans Program11
- It depends on what VAC has approved on your file under VIP. The program is needs-based — your VAC case manager determines what's authorized based on your service-related conditions and current care requirements. Once approved, SJTN submits claims to VAC directly. You don't pay out of pocket for approved services. If you don't have a case manager yet, we can help you start the conversation with VAC.
- Call us anyway. We'll explain what VIP covers, help you understand if you may qualify, and walk you through how to request a VAC assessment. If you have a service-related condition that affects your daily living, there's a meaningful chance you qualify — many veterans never apply because nobody explained the process. We'll explain it.
- You don't have to take our word for it. Call the VAC / Medavie Blue Cross Provider Inquiry Line at 1-888-261-4033 and they can confirm SJTN Care is registered to submit claims under the Veterans Independence Program. We're happy for you to verify before we start — it's the right way to choose a care provider.
- Often yes — VIP funds respite hours for the primary caregiver. SJTN doesn't bill respite directly under our current VAC approval, so respite hours are typically arranged through another VAC-designated provider once your case manager authorizes them. We'll flag it during intake so it doesn't get missed, and we coordinate around whatever care is in place.
- Possibly yes. Surviving spouses and primary caregivers of veterans may continue to receive certain VIP benefits after the veteran's passing — most commonly housekeeping and grounds maintenance, which VAC pays as annual grants directly to you. Those grants aren't billed through SJTN, but we can help you understand what may apply. Call us and we'll point you in the right direction.
- Yes. We submit claims to Canadian Forces Blue Cross and Medavie Blue Cross directly for eligible services. If you have a separate Blue Cross plan alongside VAC, tell us — we'll coordinate across both.
- Yes. Our care workers receive orientation in trauma-informed practice specifically for veterans living with PTSD and Operational Stress Injuries. We also coordinate with the OSI Clinic Kingston when clinical care is involved, so your home care and clinical care stay aligned.
- Yes. We honour sex-specific preferences for personal care where staffing permits, and most of the time it does. Tell us during intake — many veterans (and especially veteran spouses) have a strong preference and we treat that as essential, not optional.
- Yes. Active CAF families in Kingston can access our services through KMFRC referrals or directly. We work with CAF Blue Cross for eligible services. If you're posted to CFB Kingston and need home support for your family, reach out and we'll coordinate.
- If your VAC authorization is already in place, we can usually begin care within a few days. If we're starting fresh with VAC, the timeline depends on assessments and approvals — but we don't wait passively. We'll keep things moving and tell you exactly where the file is at each step.
- We work with both VAC and private coverage on the same file. Some veterans have extended health benefits from a former employer, a pension plan, or supplementary insurance. We coordinate billing so the right payer pays for the right service — and so nothing gets double-billed.
